Menu Home Booking policy and terms

This document outlines the conditions for validating and confirming a travel program.
The client(s) forming the group of travelers will be referred to as THE TRAVELER, and the travel agency as THE AGENCY.

1. Validation and Confirmation of a Program

1.1 Confirmation

To confirm a program, THE TRAVELER must:

  1. Validate the chosen version in the Client Area.
  2. Complete a registration form for each participant.
  3. Upload a scanned copy of passports in the "My Documents" section.
  4. Pay a 50% deposit of the total travel price.

Once these first steps are completed, THE AGENCY will confirm the program and proceed with reservations.

1.2 Post Confirmation Procedures

  1. The remaining balance must be paid no later than 30 days before departure
  2. For late bookings (<30 days before departure), full payment is required immediately.
  3. No reservation will be processed without the deposit payment.

2. Payment and Payment Methods

2.1 Payment Methods

THE TRAVELER may choose from the following options:

  1. International Bank Transfer: made to our account in Peru
    • Important: The transfer must be made in USD (US dollars)
    • Currency conversion from EUR to USD must be done before sending funds
    • THE TRAVELER must ensure that bank fees are covered
  2. Online Payment (Visa, MasterCard, Amex):
    • A 5.5% transaction fee applies to the transferred amount.
    • These fees are set by banking institutions, not by THE AGENCY.

3. Cancellation and Modifications

3.1 Cancellation by THE TRAVELER

Any cancellation incurs cancellation fees deducted from the refund according to the following scale:

Cancellation Date Retained Fees
More than 60 days before departure Full refund minus USD 220 per person in fixed administrative fees, plus any non-refundable services
From 60 to 45 days before departure 25% of the total trip price retained, subject to a minimum corresponding to the administrative fees
From 44 to 20 days before departure 50% of the total price retained
From 19 to 10 days before departure 70% of the total price retained
Less than 10 days before departure 100% of the total price retained (no refund)

Important

  1. Fixed administrative fees of USD 220 per person constitute a non-refundable minimum, regardless of the type of service booked or its total amount.
    Consequently, when the total price of the booked services is equal to or lower than USD 220, no refund shall be due, regardless of the cancellation date.
  2. Certain services are non-refundable (domestic flights, specific entrance fees like the Inca Trail).
  3. Bank fees remain at THE TRAVELER'S expense in case of a refund.
  4. A delay in an international flight does not constitute a cancellation. THE AGENCY will do its best to adjust the trip, but any additional costs will be borne by THE TRAVELER.

3.2 Reduction in Group Size

If one or more travelers cancel, this may result in a price adjustment per person for the remaining group members.

Any additional cost resulting from such modification shall be shared among the remaining participants.

4. Post-Confirmation Modifications

4.1 Modifications Requested by THE TRAVELER

Once the booking is confirmed, any changes may incur **additional fees**, particularly for:

  • Date changes (after reservations are confirmed).
  • Program modifications (adding or removing days).

All requests will be reviewed, but THE AGENCY cannot always guarantee feasibility.

4.2 Modifications Imposed by THE AGENCY

If external circumstances (weather, politics, strike, security…) make it impossible to carry out the program as planned, THE AGENCY may:

  • Change transportation, accommodation, or itinerary.
  • Adjust departure dates or schedules.

These modifications are made in the interest of the group, and no compensation can be claimed.

5. Insurance

THE AGENCY does not provide insurance. THE TRAVELER must purchase travel assistance and repatriation insurance.

Check your credit card: Some Visa/Mastercard cards include travel insurance if the airline ticket is purchased with them.

It is also highly recommended to take out cancellation insurance. THE AGENCY will not refund cancellation fees.

6. Disputes

  • In case of disagreement, an amicable resolution will be sought first.
  • If no agreement is reached, Peruvian courts will have exclusive jurisdiction.

7. Responsibilities

7.1 Travel Documents and Formalities

THE TRAVELER is responsible for the validity of their documents:

  • Passport (valid for at least 6 months after return date).
  • Required visas, vaccinations, and health documents.
  • Mandatory travel insurance (repatriation).

THE AGENCY is not responsible for refusal of entry at borders.

7.2 Risks and Safety

Certain activities involve risks related to local conditions:

  • Rough roads
  • High-altitude trekking
  • Off-road vehicle expeditions

THE TRAVELER participates at their own risk and cannot hold THE AGENCY liable, except in cases of proven fault.

Transport companies used are solely responsible in case of accidents. THE AGENCY acts as an intermediary and selects recognized providers.

8. COVID-19 and Possible Pandemics

THE TRAVELER agrees to comply with the health protocols in effect at the destination.
Any additional costs due to tests, quarantines, or cancellations related to COVID-19 will be borne by THE TRAVELER.

Specific COVID-19 insurance is strongly recommended

 

Applicable Version These conditions apply from the date of program confirmation. In case of an update, the version signed by THE TRAVELER will prevail.
